New SOP Guidelines for Correcting Personal Details in EPF Accounts
The Employees’ Provident Fund Organisation (EPFO) recently released new standard operating procedure (SOP) guidelines for correcting personal details of Employees’ Provident Fund (EPF) members in their provident fund accounts. The revised guidelines, outlined in a circular issued on July 31, 2024, aim to enhance the process of updating and correcting member profiles, while ensuring the prevention of impersonation, identity theft, or other fraudulent activities.
Joint Declaration for Member Profile Updation
The updated SOP, version 3.0, introduces stringent measures for joint declaration requests and mandates a more rigorous due diligence process to prevent potential cases of impersonation or identity theft. A joint declaration, which needs to be authenticated by the employer, allows EPF members to request modifications or additions to their basic profile parameters. These parameters include the member’s name, gender, date of birth, father’s name, mother’s name, spouse’s name, marital status, date of joining, reason for leaving, date of leaving, nationality, and Aadhaar number.
The circular categorizes profile changes as major and minor, and emphasizes the requirement of documentary proof for all such change correction requests. For minor changes, at least two necessary documents must be provided along with the joint declaration request. On the other hand, major changes necessitate the submission of at least three required documents. In cases related to changes in Aadhaar information, an Aadhaar card or E-Aadhaar card linked with an active mobile number is considered sufficient documentation.

- Father’s Name:

- Phonetic changes in the name, irrespective of the number of alphabets changed
- Change involving 3 or more alphabets

- Phonetic changes in the name, irrespective of the number of alphabets changed
- Change involving 3 or more alphabets
- Expansion of the name

Minor Changes in Personal Details of EPF Members
- Member Name:
- Change involving less than 3 alphabets, not phonetically
- Addition of surname after marriage (in case of a female)
- Removal of salutations like Shri, Dr., Mr., Mrs., Miss, etc.
- Gender:
- Male/Female/Transgender
- Date of Birth:
- Changes within or equal to three years
- Father’s Name:
- Change involving less than 3 alphabets, not phonetically
- Removal of salutations like Shri, Dr., Mr., Mrs., Miss, etc.
- Mother’s Name:
- Change involving less than 3 alphabets, not phonetically
- Removal of salutations like Shri, Dr., Mr., Mrs., Miss, etc.
- Spouse Name:
- Change involving less than 3 alphabets, not phonetically
- Removal of salutations like Shri, Dr., Mr., Mrs., Miss, etc.
- Marital Status:

Submission Process for Joint Declaration Requests
EPF members can submit joint declaration requests for corrections via the Member e-Sewa portal. It’s important to note that changes can only be made for EPF accounts maintained by the present employer, and employers do not have modification rights for EPF accounts from other/previous establishments. Additionally, there are limitations on the number of times changes in personal details are allowed, ensuring a streamlined and controlled correction process.
These updated SOP guidelines by the EPFO aim to facilitate efficient and secure handling of EPF member profile corrections, ensuring accuracy and preventing unauthorized activities within the system.
